Adding vault documents to a transmittal

Adding vault documents to a transmittal creates copies of the documents in the transmittal and includes document metadata in the transmittal as determined by a system administrator. The metadata that is copied to the transmittal is configured by a system administrator in the transmittal’s template.

Note    By default, documents are not checked out to the transmittal as they can be to a standard briefcase.

Before you begin

Documents may only be added to a transmittal that is in an editable state in a workflow for which you are the current To do person. If necessary, initiate a workflow for the transmittal before proceeding.

To add documents to a transmittal:

  1. Select the vault documents that you want to add to the transmittal.
  2. Click Document, point to Transmittal Management, and then click Add to Transmittal. The Select a Transmittal dialog box appears.
    Tip    You may also click the Add to this Transmittal button or the Add to Submittal button on the Transmittal Management toolbar, if the toolbar is enabled in PowerUser.
  1. Select a transmittal and click Select. The Add to Transmittal dialog box appears
  2. Select options and type values using the descriptions in the following table and click OK. The Transmittal dialog box appears with the selected documents added as New Documents.

Or

  1. Select the transmittal to which you want to add documents.
  2. Click Document, point to Transmittal Management, and then click View Transmittal. The Transmittal dialog box appears.
  3. Click the Add Documents button in the toolbar. The Select Documents dialog box appears.
  4. Browse to and select the documents you want to add and click OK. The Add to Transmittal dialog box appears.
  5. Select options and type values using the descriptions in the following table and click OK. The documents are added to the transmittal with as New Documents.

Copies documents that are linked by custom reference types to the transmittal.

  1. If the transmittal briefcase format is configured to update a transmittal sheet upon changes to the briefcase’s contents, the Generate Transmittal Sheet dialog box appears.
  2. Select the Include transmittal in briefcase option to generate a transmittal sheet and add it to the briefcase. If you want to save the names of the documents contained in the transmittal as a collection in the vault, select Save document list as collection and select an existing collection from the list or select <New collection> to save the list as a new collection and click OK. The documents are added to the transmittal.
